We have a unique method of scheduling employees that is confusing to explain without a visual. We need a simple to follow, 1 page (2 page max) graphic/document that uses icons and other visuals to explain the system.
- We have 30+ locations and 50 employees in each city. Each location in the city requires 1 employee at a time.
- Any employee can work at any location within the city (Depends how far they are willing to drive)
Communicate our scheduling system as clear and as simple as possible using as little space as possible
Minimalist, simple color scheme 2-3 colors (will provide exact color info), choose to use images over text where ever possible
Target Audience: Age 17-25, High school/undergraduate, prospective employees and current employees
Here is our method of scheduling: (This is what we need explained visually)
a. We use operational data over the previous 2 week period to give each employee a 'score', every employee is ranked. The top 20%, middle-upper 30%, middle-lower 30%, and bottom 20% all form groups of employees. We then randomly (lottery) position employees top to bottom in each group to determine the priority order of scheduling. (see attached file)
b. We rank all of our locations based on the average number of customers per day (we break this down into weekend and weekday)
c. We ask each employee to tell us the distance that they are willing to drive from their home (a. <15 min, b. <30 min, <45 min d. <60min)
d. Every employee is then scheduled in sequence of their ranking at the highest ranked location within their driving range. For example, the employee who is first in group one would be scheduled 3x at the best location in their range and 2x at the 2nd best location (assuming they work 5 days a week). After this employee is scheduled, the system schedules the 2nd place employee and so on
1. Employees can only be scheduled a maximum of 3 times at any one location
2. Employees must work at least 5 eligible shifts in the past 2 weeks (or they end up in the lower group)
