Senior AI CRM Orchestration Architect + GoHighLevel Backend Specialist Sarkis AI Inc. is building a healthcare-aware AI revenue infrastructure company for appointment-based businesses, including med spas, dental practices, orthodontic clinics, and medical aesthetic businesses. This project combines two connected needs: 1. Primary focus — 60%: Build and architect the central AI CRM orchestration layer, internally referred to as the Single Brain. 2. Secondary focus — 40%: Connect and structure the GoHighLevel / HighLevel backend so the orchestration layer can trigger the correct CRM actions reliably. This is not a basic GoHighLevel workflow job. This is not a chatbot setup. This is not a website or landing page project. This is not for beginners, template sellers, or automation generalists. I am looking for a serious backend architect / senior developer / technical team that can build a reliable middleware layer between external business signals, AI decision logic, and GoHighLevel CRM execution. Project Goal The system must act as a secure central orchestration layer that can: * Receive signals from websites, forms, calls, SMS, emails, calendars, chatbots, booking pages, ads, payments, and future AI agents. * Normalize incoming events into a clean internal structure. * Match events to the correct client, location, contact, opportunity, pipeline, or workflow. * Decide what action should happen next. * Trigger the correct GoHighLevel / HighLevel CRM action. * Prevent duplicate actions. * Handle failed webhooks, failed API calls, retries, out-of-order events, and network issues. * Log every event, decision, and action for auditability and debugging. * Support human escalation when the system should not make an automated decision. * Prepare the foundation for future AI/LLM decision logic and multi-agent coordination. * Scale later into a multi-client, multi-tenant SaaS-style platform. The goal is to build a system that is reliable, secure, explainable, and scalable. GoHighLevel / HighLevel Scope GoHighLevel / HighLevel is the first CRM priority. The selected candidate must be able to work with or quickly master: * Contacts * Opportunities * Pipelines * Stages * Tags * Custom fields * Workflow triggers * Calendars * Booking logic * Forms and surveys * Webhooks * API actions * OAuth / token-based authentication * Rate limits * Failed API call handling * CRM data synchronization * Lead capture and follow-up workflows * Appointment booking workflows * Missed-call recovery workflows * Review and reputation workflows * Reactivation workflows The GoHighLevel side must be clean, organized, and scalable. I do not want messy duplicated workflows, random tags, confusing custom fields, or fragile automations. The system must be designed with: * Privacy-conscious data handling * Secure authentication * Careful logging * Controlled access to client information * Healthcare-aware workflow design * Secure communication practices * HIPAA / PIPEDA / PHIPA awareness I am not asking the developer to provide legal compliance advice. However, you must understand that healthcare and clinic-related systems require a higher standard than ordinary marketing automation. First Paid Phase The first phase will be an NDA-protected architecture and code review phase. Expected deliverables: 1. Review the current MVP codebase and architecture. 2. Review the current GoHighLevel backend structure if applicable. 3. Identify reliability, scalability, security, and maintainability gaps. 4. Design the target architecture for the Single Brain orchestration layer. 5. Define the event lifecycle from received → normalized → processed → failed → retried → escalated → completed. 6. Create a GoHighLevel / HighLevel API action map. 7. Recommend database structure for events, logs, clients, contacts, decisions, and actions. 8. Define retry, idempotency, duplicate prevention, and failure-handling logic. 9. Define audit logging and monitoring requirements. 10. Assess multi-tenant readiness. 11. Review authentication, secret management, and access-control requirements. 12. Provide a prioritized technical roadmap for the production MVP. After this phase, we may proceed to the full production build. Demand List — Read Before Applying Please do not apply unless you can meet these requirements. You must be able to prove experience with: * CRM middleware or API orchestration systems. * Webhook-based backend systems. * Event routing and normalization. * Retry logic and duplicate prevention. * Secure backend architecture. * Node.js and TypeScript. * PostgreSQL or another serious backend database. * API authentication and secret management. * Clean technical documentation. * Multi-tenant SaaS-style thinking. * AI/LLM integration or decision-support workflows. You must understand that: * This is a backend architecture project, not a simple automation job. * GoHighLevel is important, but the main system is the orchestration layer around it. * The system must not silently fail. * Every event and action must be traceable. * AI logic must be controlled, explainable, and separated from fixed business rules where appropriate. * Healthcare-sensitive data must be handled carefully. * A cheap, fast, messy build is not acceptable. Do not apply if: * You only build websites. * You only build basic landing pages. * You only set up simple GoHighLevel workflows. * You only use Zapier or Make without real backend development. * You cannot work with APIs and webhooks. * You cannot explain idempotency, retry logic, or duplicate prevention. * You cannot work with Node.js / TypeScript. * You have never built production backend systems. * You cannot document your work clearly. * You plan to outsource the project without telling me. * You are sending a generic copy-paste proposal. * You cannot sign an NDA. * You are not comfortable with healthcare-aware data handling. * You are not prepared to answer technical questions before being hired. Who exactly will work on this project, and what is their seniority level? 13. Are you comfortable signing an NDA before reviewing the MVP? 14. Can you provide examples of similar systems you personally built? Ideal Candidate The ideal candidate is a senior backend architect or technical team that can think beyond task execution. You should be able to design the system, explain your decisions, identify risks, document the architecture, and build a stable foundation that can support GoHighLevel today and broader AI-agent orchestration in the future. I am looking for someone who understands both: * Software architecture: event-driven backend, APIs, retries, logs, security, database design, multi-tenancy. * CRM execution: GoHighLevel workflows, pipelines, contacts, opportunities, tags, custom fields, calendars, lead follow-up, booking, reviews, and reactivation. Budget and Scope The posted budget is for the initial discussion and/or first architecture review phase only. The final production build budget will be discussed after the MVP review and technical roadmap. Please do not claim you can fully build the entire production system in a few days unless you can clearly explain the scope and prove similar experience. Final Note I am looking for quality, not quantity. If your proposal is generic, I will ignore it. If your answer does not address the technical questions, I will ignore it. If you only mention websites, mobile apps, landing pages, or generic AI, I will ignore it.
