1. Project Title Zoho CRM Automation and Systems Specialist (Optimisation and Scaling) 2. Project Overview 2.1 We are a fast-growing education group based in Australia (Tutors SA, MedPrep, STEM Centre Australia). 2.2 We already have a Zoho CRM system in place and are looking for a highly capable, hands-on specialist to optimise, streamline, and scale our current systems. 2.3 This is not a basic CRM setup project. The focus is on improving an existing system, building efficient workflows, and increasing operational performance. 3. Project Scope 3.1 Phase 1: CRM Optimisation (Immediate Priority) 3.1.1 Review and optimise the existing Zoho CRM setup 3.1.2 Improve pipelines, lead tracking, and enrolment workflows 3.1.3 Build and refine dashboards and reporting 3.1.4 Improve email templates and communication workflows 3.1.5 Identify inefficiencies and implement practical improvements 3.2 Phase 2: Automation and Integration 3.2.1 Build and improve automation workflows (e.g. Zapier) 3.2.2 Integrate website (WordPress/Elementor) forms with Zoho CRM 3.2.3 Improve data flow and system reliability 3.2.4 Reduce manual processes through automation 3.3 Phase 3: System Scaling 3.3.1 Prepare systems for higher lead volume and business growth 3.3.2 Improve performance, speed, and usability 3.3.3 Ensure scalability across multiple brands 3.3.4 Configure and implement new functionality across Zoho CRM and the broader Zoho One ecosystem 4. Required Skills 4.1 Strong experience with Zoho CRM configuration and optimisation 4.2 Proven experience improving existing CRM systems 4.3 Experience with automation tools such as Zapier 4.4 Experience with integrations including webhooks and APIs 4.5 Strong problem-solving ability and systems thinking 4.6 Ability to work independently and implement solutions 5. Nice to Have 5.1 Experience with ClickUp or similar platforms 5.2 Experience working with multi-brand or multi-pipeline systems 5.3 Experience in education or service-based businesses 6.
