## Project Details **$4.00 – $7.00 USD per hour** **Title:** Remote Virtual Assistant — Medicare & Life Insurance (Calls + Appointment Setting + CRM Follow-Up) ## Overview Established Medicare and Life Insurance Agency looking for a reliable, detail oriented remote virtual assistant to help with high volume lead follow up and appointment setting. This is not random calling these are people who requested info or are warm leads we haven't talked to in a while our clients are often seniors so we need someone patient respectful and organized. We're building long term systems and want someone who can grow with us 90 day pay increase available if performance and quality are strong. ## Scope of Work (Phase 1 – Trial Week) You will: ### Call & Follow Up With Leads (Primary) - Call new and warm leads daily (volume can be **50–100 leads/day** depending on the day) - Use a script (provided) but speak naturally and professionally - Handle “no answer” outcomes correctly: voicemail, text/email follow-up, and reschedule attempts ### Appointment Setting + Confirmation - Book appointments on our calendar - Confirm the appointment and send reminders to reduce no-shows - Collect basic notes (best callback time, needs, current coverage situation at a high level) ### CRM / Spreadsheet Updates (Critical) - Update our CRM/spreadsheet after every contact with clean notes: - outcome, next step, date/time, and priority - Keep follow-up lists clean so no lead gets missed ### Light Admin Support (As Needed) - Organize inbox messages related to leads/appointments - Flag urgent client issues for the agent immediately ## Ideal Candidate - Experience as a VA, appointment setter, or call center rep - **Medicare / health insurance / life insurance experience is a plus** - Comfortable speaking with seniors and keeping a calm, helpful tone - Strong attention to detail (accuracy matters more than “speed”) - Can follow a process and still think independently when needed ## Requirements (Must Have) - Strong spoken English + professional phone presence - Reliable internet + quiet workspace + headset - Able to overlap **4–7 hours/day with US Central Time (Texas)** - Comfortable using CRMs, spreadsheets, and calendars - Understands privacy and confidentiality (HIPAA awareness is a plus) ## Important Notes - This is **not** spam or robocalling - We prioritize **quality follow-up** and **clean documentation** - If you miss follow-ups, this role won’t be a fit (we’re serious about consistency) ## Phase 1 Trial - Paid trial period (short) focused on: - call handling - appointment setting accuracy - CRM notes quality - follow-up completion ## To Apply Please include: 1) Your location + hours you can overlap with **US Central Time** 2) A brief summary of your VA/calling experience 3) Any Medicare/insurance background (if applicable) 4) A 1–2 minute voice note (English) introducing yourself 5) Your internet speed + confirmation you have a headset 6) Answer: “How do you track 50–100 leads/day and make sure none are missed?”
