one thing worth settling before anyone quotes you properly: how many records, across how many databases? the work is straightforward, but "a series of online databases" could be two hundred rows or twenty thousand, and those are different jobs. give me the count and i will tell you whether the number still works. what quietly ruins this kind of file is the date column. dates pulled off a web page arrive as text, and text sorts alphabetically, so 1 april lands above 2 march and the sheet looks sorted while being wrong. excel's sort confirms it happily either way. so dates get parsed to real date values on the way in, not left as strings. word-for-word i take literally. entries go in as plain text, so no stray bold, no smart quotes turned into question marks, no trailing spaces that quietly break your lookups later. i pull these with a script rather than by hand. that matters twice over. extraction stays consistent across every record instead of drifting the way attention does over a few thousand rows. and when you add databases next month the same run repeats for nothing, rather than starting from the top. the broken-link log is the part i would not skip. an entry that silently did not come through is worse than one that obviously failed, because you never go looking for it. send the template and the database urls, and the first batch comes back to you as a checkpoint before the rest is run, so you can check it against the source while changes are still cheap.
