I’m planning a classic, elegant wedding in Konark on 3-4th Feb for somewhere between 50 – 150 guests and need an experienced coordinator to keep the logistics effortless so I can focus on the celebration itself. Your main responsibilities will be twofold: manage the entire guest-list & RSVP process from now until the week of the wedding, and take full control of timeline, vendor communication, and on-site flow on the big day. Guest-list & RSVP management • Build and maintain a live spreadsheet or portal where we can both monitor responses. • Follow up with non-responders, track meal selections, and flag any special requests or dietary needs. • Produce a final, alphabetized guest list and seating chart draft at least five days before the wedding. Day-of coordination • Serve as the central point of contact for all vendors (venue, catering, photo/video, music, transportation). • Run the ceremony rehearsal, cue processional music, and keep the reception timeline on schedule. • Troubleshoot any last-minute issues discreetly so the classic, refined feel remains intact for our guests. The décor and design elements are already in motion with another vendor; I simply need you to protect that vision by ensuring every moving piece arrives on time and fits together seamlessly. Ideal fit You’ve orchestrated other classic or formal weddings, communicate promptly by email and phone, and are comfortable creating clear run-of-show documents in Google Workspace, Excel, or similar tools. Availability for one venue walk-through plus up to ten planning check-ins before the date will be expected. Deliverables I will sign off on • Updated RSVP tracker (shared and exportable) • Final seating chart files • Detailed wedding-day timeline with vendor contacts • Twelve hours of on-site coverage on the wedding day, including setup supervision and reception send-off If this sounds like your sweet spot, tell me about a recent event you kept running flawlessly and the systems you used.
