I work in a remote catering company and we use excel in a daily basis with linked sheets to produce data results for us. I have linked and played with the company sheets so it allows a single piece of data to be placed in once, not 4 times like they were doing before me. My excel skills are good but I need someone to set up Microsoft access and actually use it what it is designed for, a database of information.
We currently use excel like a database and I am sure a lot of other people do as well. However I believe setting up to trial our sheets through access with web integration, or even a nice user friendly interface to help my managers do their reporting more efficiently.
The type of data entry that my managers do on these mine sites is the following.
1. Weekly reports that have the clients occupancy, our staff occupancy, any back charges, bar takings.
2. Food figures: Stocktakes that get done every fortnight. This will give the total amount of people breakdown and consumption rate per category of food item. This allows us to study our food budgets and costs etc.
3. I need data sent back to my Sydney office in a similar format so they don't see anything different. Operationally in my role I want to give my team on the frontline a much better tool then just excel which can break very easily.
4. Optional and may be out of scope in this project. However a bar code scanning system that would scan directly into this access database when stocktakes are done. This would allow really accurate stock control. If item is not in the system, then allow it will ask for the bar code and cost of product.
I have all our sheets that I am currently using so it would be quite a simple job for someone with the knowhow of excel to access. I wish I knew how to do it however I think when this gets done it will give me such a better understanding to never use excel as a database again, and actually use what access is designed for, a DATABASE of information that you can send queries to and have the EXACT information you want come back at you instantly!!.
