Cosmetics Sourcing & Launch Operations Coordinator

I’m building an early-stage premium haircare/cosmetics brand in India and am looking for a highly organized part-time freelancer to support vendor sourcing, execution tracking, follow-ups, and launch operations. This is not a pure marketing role. I need someone who can help move things forward in a structured way by identifying and coordinating with the right vendors, maintaining trackers, following up consistently, and keeping all key documents organized. Key responsibilities: • Communicate directly with manufacturers and vendors to gather and verify critical details including MOQ, pricing, lead times, sampling terms, customisation capabilities, certifications, and onboarding requirements • Source and shortlist manufacturers, packaging suppliers, printing/label vendors, and relevant agencies/freelancers • Compare vendors based on MOQ, cost, quality, lead time, customization ability, and fit for a premium brand • Follow up proactively with vendors on quotations, samples, timelines, documents, and next steps • Maintain a master tracker in Google Sheets / Excel with status, owner, next action, ETA, and risks • Keep folders well-organized with clear naming and version control for quotations, agreements, reports, artworks, dielines, certifications, etc. • Share concise weekly updates with progress, blockers, upcoming actions, and recommendations What I’m looking for: • Strong Google Sheets / Excel skills • Excellent follow-up discipline and responsiveness on WhatsApp/email • Experience in vendor sourcing, operations coordination, or launch support • Ability to work independently and keep momentum without constant reminders • Strong attention to detail and documentation discipline • Prior experience in cosmetics, skincare, haircare, beauty, packaging, or D2C brands is strongly preferred Trial engagement: I prefer to begin with a fixed-price trial project to evaluate fit, working style, and quality of execution. Trial deliverables may include: • 4 shortlisted manufacturers relevant to the product category • 4 shortlisted packaging suppliers • 1 clean comparison sheet • 1 sample master tracker • 1 suggested folder structure / document organization system • 1 concise weekly summary update If the trial goes well, the role can continue as an ongoing part-time paid engagement on an hourly or capped monthly basis.
