Description of Web Based Software / Data Entry System
Login page – this is the first page that everyone sees when they go to https://gambei.hk -- we will have a small collection of non-secure pages at http://gambei.hk simply for description of our company and our services (but this is not part of the work we are looking to ask you to do for the time being
Depending on the login name, certain users will have universal access and certain users will have only partial access – for example the senior management will have universal access (PLUM, GREEN AND BLUE pages) and the clients will have access to input sales and purchasing data (GREEN pages only). The auditors will have access to GREEN pages and BLUE pages only.
Client entry page – each customer (each bar or restaurant) has an address, unique bar name and client identifier associated with it
Drink menu page – each client has its own drink menu and while many will be the same, each may be completely different and we need to accommodate this – each drink may have more than one input – example 29.57 mL Smirnoff Red Label Vodka, 14.78 mL Bailey’s Irish Cream and 14.78 mL Kahlua Coffee Liquor
Alcohol or inventory type entry page – each inventory unit has a different bottle weight, a different specific gravity and each may come in a different size of package – ie there may be two types of San Miguel beer in bottles – one with 330 mL bottles and one with 300 mL bottles
Run analysis page – this page is the launching point for completing the auditing job – we use this page as the basis for running an audit and it will prompt us to scan a bar code from the
Balance data page – as with any accounting program, the system should help or assist the user by suggesting where mistakes could have been made – this page tells the user where the problems are using bright colour – any discrepancies or statistically important numbers are going to be highlighted with colours to show where the user must spend his time to determine the problem – then either correct the data or print a report to show the client
Purchase entry page – the total purchases or additions to the inventory that are made each period (each week) are to be input through this page – these sources of data are provided to us in print firm must be manually input to our system – we would like the enable clients to input the sales also (to make our jobs easier)
Sales Entry page – the sales report from the previous week’s sales which is provided to us in print firm must be manually input to our system – we would like the enable clients to input the sales also (to make our jobs easier)
Data manipulation page – data from all clients is to be stored on our secure server (it must be stored in encrypted form) – and we need to be able to manipulate the data to create different reports
Other important features:
The web-based system must be secure and must run on nearly all web browsers including Firefox for Mac OSX etc.
Once an audit starts, the data must be protected either by running some type of Applet that keeps the data (so that the user does not have to start the audit over again) or some type of newer Java function that will re-establish a link to the server and give it the burst of data that was not uploaded before the disconnect or time-out occurred.
The system will have to take into account data entry devices like barcode scanners and scales. The data entry or auditor will make use of PDAs or Pocket PC’s to scan bar codes and this data will need to be loaded to the server via Wifi or Bluetooth from the PDA to the laptop to the server or simply from the PDA directly to the server over Wifi.
