I would like to develop a simple database interface, in Microsoft Access, which would help my department locate physical (paper) and electronic (LAN) files. I envision an index system, with ten different major heading (MH) categories, based on our dept's duties, from [url removed, login to view], [url removed, login to view], etc., to [url removed, login to view] as file indices. A drop down box would allow choosing of major heading, and keywords (10 of them) would be used to search for the location of a file. Our admin assistant will populate the database with the keywords and location of the files, and others would be able to search, based on major heading and/or keyword(s), for a list of relevant files, making it easier to find the files themselves. The return from the query would be a list of files that match the search criteria, their titles as entered, and their location (“Cabinet #3,?? etc.).
The idea is for the data entry portion to be as user-friendly as possible, and for the search portion to be as flexible as possible. My higher-ups’ wish list includes a “drill down?? feature in the search tool, such that one could double click on “major heading,?? and receive a list of subdivisions within major heading, similar to clicking the “+?? on a folder in Windows Explorer.
I think all of this can be accomplished easily, by someone versed in Access. But I am NOT well-versed in Access!
