Scenario The Estate Agency provides a house purchase and sales service. The staff comprises three partners, who do most of the client liaison, supported by an administrator and a secretary who are responsible for all administrative functions, including correspondence, financial management, maintaining records and arranging appointments. The agency has successfully computerised many of the administrative tasks. The administrator uses a personal computer (PC) for correspondence, financial management and other administrative functions (e.g. work and holiday rotas), using standard word processing and spreadsheet software (Office 2000). A further PC is located at the reception desk and runs an off-the-shelf software package for recording details of client appointments. The senior partner is keen to bring the agency up to date and she has asked the administrator to investigate the possibilities of further computerisation. In particular she wants to develop automation of the key function of the agency, i.e. the matching of purchasers’ requirements to properties on the market. The administrator is technically able and has made good use of word processing and spreadsheet software but has no experience of database systems and is therefore seeking external advice on the computerisation of the system. Initial discussions suggest that the new system will comprise a small network of PCs, one in each of the partners’ offices, one for each of the administrative staff and at least one in a new informal client meeting and browsing area that is currently being constructed. You have been brought in as a consultant to advise on the new computerisation. At this stage your responsibility is to demonstrate the capabilities of a database system and convince the staff of its usefulness rather than to build a complete working system. Your brief is therefore to develop a prototype of the new system and to advise on the management of its further development.
