The objective of this system is to allow clients to enter data into specified tables for subsequent merge with Microsoft Word documents. Some of the Word documents will be converted to a PDF format and emailed back to the clients for final approval, printing and mailing. The system processes will be controlled by a series of milestones and tasks based on a schedule to be maintained in a separate table. There is a requirement to add additional milestones as well as modifications to the waiting periods for the milestones and tasks without additional programming.
There will be a need to add additional documents in the future as well as changing or deleting existing documents without any additional programming.
Certain fields will be entered by the business staff via scanned bar codes.
As milestones are completed, an email will be sent to the client notifying them of the completed milestone as well as the next scheduled milestone and the date for that milestone.
The business requires the milestone schedule along with the appropriate waiting periods and document preparation time automatically generated into a Microsoft Project schedule with a Gantt chart to be displayed on the Web and accessible by the client as well as the business staff. The business staff should be able to select which client it wishes to view.
Clients will establish a username/password during initial registration. This username/password will restrict the client to only their records as well as only functions available for client use. During data entry, the client and business staff will populate certain columns by selecting options based on tables maintained by the system.
