Online Newsletter and Course System

We need 2 interrelated autoresponce sequence and 2 online control panel systems.

The first autoresponce sequence is for a newsletter

The second autoresponce sequence is for an online course

The first online control panel is for the administration of course materia (PDF) and emails

The second control panle is for the course subscribers, where they can find the downloadable courses

This will allow visitors to our website to:

1. Sign up to a newsletter with an autoresponce sequence.

Then

2. Become a course subscriber with its own 24 intalment autoresponce sequence and online control panel.

The two autoresponce sequences should be interrelated as the newsletter stops once the subscriber signs up as a course subscriber.

# Development Coach ??" website functionality briefing

Development Coach is a 25 module online course over 24 months that allows ‘students’ to learn the process of developing property.

A visitor to the website will have two choices:

1. become a newsletter subscriber to the newsletter, which is free, and will be aimed at providing information and selling the online course.

2. become a course subscriber by signing-up to the 24 month course.

When someone signs up for the newsletter, they can download the first module for free. The newsletter is sent out monthly in a sequence ??" in other words, when someone signs up, they receive newsletter 1, then newsletter 2, etc. on the first day of the month.

The course subscribers also receive the newsletters on the first day of the month, as well as an e-mail sent out on the first of the month advising them that their next module is available for download in PDF format.

Course subscribers can access the next module be logging on to the system using their username and password. Once logged into the system, course subscribers can also:

1. Take the Self-test Questions for the module online, only once the module has been downloaded

2. Check the answers to the Self-test Questions and their score

3. Download any modules that have already been e-mailed to them

# The process

***Newsletter subscribers***

* The visitor finds the website via search engine, marketing e-mail, media coverage

* The visitor signs up for the free e-newsletter, becoming a newsletter subscriber.

* The visitor’s details are populated into the back-end database and the new newsletter subscriber is automatically assigned an “active?? status

* The system automatically sends a Welcome e-mail, with a link that allows the 1st of the 25 modules to be downloaded for free.

* The first newsletter in the sequence is sent out.

* Thereafter, the newsletters are sent out in sequence on the first day of the month.

* The Development Coach admin person has access to an online control panel where Newsletter subscriber details can be updated, new subscribers can be added and unsubscribed details can be given an “inactive?? status

***Course subscribers***

* A new visitor signs up for the course by completing the online registration form. The details are populated into the back end database, assigned a username and password and allocated an “inactive?? status.

* The course subscriber is then directed to a page from which the debit order authority form must be downloaded.

* This debit authority form must be completed, signed and faxed to the number provided.

* An automatic e-mail is generated to the course subscriber containing the following:

* * a Welcome message,

* the URL of the website log-in page

* a user name and password

* details of how the process works (first debit order, when the modules are available, etc),

* The system automatically generates a text based e-mail to the Development Coach admin person to alert them to the new course subscriber and enabling them to follow up that the debit order authority is received.

* The Development Coach admin person will then process the debit order application and log into the control panel to change the status to “active??.

* This will generate an e-mail to the course subscriber notifying him that the account is active and that the next module will be available for download on the first day of the month.

* If a newsletter subscriber signs up for the course, the system picks up that the e-mail address already exists and changes the subscriber status from “Newsletter?? to “Course subscriber??. It also populates the rest of the details into the database

* All course subscribers, whether the status is “active?? or “inactive?? receive the newsletters sent out on the first working day of the month.

* An online control panel for the Development Coach admin person allows the status of the course subscriber to be changed to “inactive?? if the debit order is unpaid.

* Making a subscriber “inactive?? generates a Debit Order Unpaid e-mail to the course subscriber and stops any further modules from becoming available or the e-mail on the first of the month that says the next module is available to the course subscriber

* If the debit order problem is fixed, the admin person can access the control panel to change the status back to “active?? ??" the system then resumes making the relevant modules available ??" continuing in the cycle from where it was inactivated

* The system will recognise the username and password and allow access only to the modules the course subscriber is entitled to.

* Once a module has been downloaded, the self-test questions become available on the system, which must be answered online.

* Once the 10 questions are answered, the control panel will allow access to the answers page for the course subscriber for that module. This page will also reflect the score for the module and an total score for the modules completed

* The system will also automatically generate an e-mail indicating a score, the correctly and incorrectly answered questions for the course subscriber and will contain all the right answers with an explanation.

* On the 15th of each month, an e-mail reminder to take the Self-Assessment test is sent.

* Every three months an automated e-mail will be sent out asking about the member’s progress, inviting them to share their experiences (testimonials) and to ask questions (making it interactive and to build our FAQ section).

* When the final module is downloaded, the system assigns a “completed?? status to the course subscriber.

* This generates an e-mail to the Development Coach admin person who will then arrange for a certificate of completion to be sent to the course subscriber.

* Capacity must be created to send ad hoc e-mails from the system.

# What is required

* Backend database linked to two different online registration forms ??" the database contains the following fields (* required)

* * Name

* Surname

* E-mail

* Postal Address

* Contact number

* Occupation

* Referred by field

* Type: Newsletter subscriber / Course subscriber

* Status: Active / Inactive / Completed

* Username

* Password

* Newsletters sent and date sent

* Modules downloaded and date downloaded

* Log of answers to self-test questions for each module

* Test scores for each module

* If the visitor signs up for the free e-newsletter, the Type field is automatically assigned as *Newsletter subscriber*, the Status field is automatically assigned as *Active* and only the fields marked in red will be populated.

* The system automatically sends a Welcome e-mail, which contains the link to download the first module for free

* The first newsletter is sent.

* The sequence of e-newsletters, which are sent out on the first day of the month, kicks in. The system will keep track on the database which newsletters have been sent and on which dates.

* Once a newsletter subscriber signs up for the online course, the system changes the subscriber Status field to *Course Subscriber* and the Type field to “inactive??.

* If a person signs up for the course, the database is populated with the details and the

system allocates the subscriber Status field to *Course Subscriber* and the Type field to “inactive??.

* The course subscriber then gets an automated Welcome email containing:

* * a Welcome message (name automatically inserted by the system),

* the URL of the website log-in page

* a user name and password (automatically inserted by the system)

* details of how the process works (first debit order, when the modules are available, etc),

* An e-mail is generated to the Development Coach admin person to alert them of a new course subscriber

* Once the signed debit order authority is received, Development Coach admin person will login to the control panel and assign an “active?? status to the new course subscriber

* The system automatically generates a text based e-mail advising the subscriber that the account has been activated and the next module will be available for download on the 1st of the month

* An online control panel for the Development Coach admin person allows:

* * Details to be changed

* New details to be loaded

* Status to be changed to “inactive?? or “active??

* Type to be changed

* If Status is changed to “inactive?? - a Debit Order Unpaid e-mail is automatically generated

- any further e-mails advising the next module is available are blocked and no further modules are made available

* If the Status is changed back to “active?? ??" the system then resumes sending the e-mails and modules ??" continuing in the cycle from where it was inactivated

* Course subscribers whether active or inactive also receive the newsletters.

* An online multiple choice question and answer structure linked to database

* An online control panel for course subscribers accessed with the login and password for:

* Downloading the modules in PDF format ??" access only allowed to modules paid for by debit order

* Accessing the 10 multiple choice questions to be answered online

* Accessing the answers page for the modules already e-mailed

* * Downloading the modules in PDF format ??" access only allowed to modules paid for by debit order

* Accessing the 10 multiple choice questions to be answered online

* Accessing the answers page for the modules already e-mailed

* An automatically generated e-mail from the database indicating the correctly and incorrectly answered questions

* An e-mail is automatically generated every 15 days to remind active course subscribers to take the self-test

* An automated feedback e-mail every three months

* When the final module is sent, the system automatically assigns a “completed?? status to the course subscriber and automatically generates an e-mail to the Development Coach admin person

* Report functionality ??" by type, status, period in the cycle, surname
