I need a Power Automate flow that lives in SharePoint Online and walks our engineering designs and technical reports through a clear, traceable review cycle. The flow should fire as soon as a new file is dropped into (or updated inside) the dedicated document library, then: • capture the submission metadata, • assign the all the reviewers simultaneously engineer, project manager and other reviewers, and • track every approval or rejection until the document reaches a final “Released” status. Along the way the flow must: – write status updates back to library columns so the team can filter by “Pending Engineer”, “Pending PM”, “Rejected”, or “Released”; – store each approval decision and any comments in a separate “Review Log” list for audit purposes; – notify the next reviewer by email (Outlook 365) with a direct link to the file; – keep version history intact so no manual check-in/out is required. Nothing fancy—just a rock-solid, easily maintained workflow that saves us from chasing signatures in email threads. Can provide the document flow architecture for this.

Hi, I am Adeel. I built the SharePoint document and matter management platform for JTA Law, and separately handled Microsoft 365 collaboration for Florence College, so multi-stage approval flows with status tracking are familiar ground. For this I would trigger on library item creation or update, use Power Automate to assign parallel approvals to the engineer, PM and other reviewers, and write each decision into a separate Review Log list so the audit trail never touches the library columns directly. Status columns get updated at each stage so filtering by Pending Engineer, Pending PM, Rejected or Released just works, and version history stays intact throughout. Are the reviewer names fixed per library, or do they vary by document type?

Good day! I can build a dependable SharePoint Online and Power Automate review workflow that gives your engineering documents a clear approval path and complete audit trail. I’ll configure the flow to trigger on new or updated files, capture submission metadata, and coordinate engineer, PM, and additional reviewer approvals while writing live statuses back to the document library. Each decision and comment will be recorded in a dedicated Review Log list, with Outlook notifications containing direct file links and automatic progression to the next required review stage. I’ll structure the workflow to preserve SharePoint version history without unnecessary manual check-in/out and keep the architecture easy to maintain. I’ll also thoroughly test approvals, rejections, resubmissions, notifications, status updates, and final Released handling to ensure the workflow remains reliable for your team.

You need a Power Automate flow for SharePoint Online to manage engineering design reviews, and I will build it using Power Automate and SharePoint's built-in capabilities. The flow triggers on a new file or update in your document library. It captures existing metadata, then assigns the engineer, project manager, and other specified reviewers to approve simultaneously. I will use the "Get file properties" action to grab the metadata, then the "Start and wait for an approval" action, configured for parallel reviewers. Status updates will be written directly back to library columns using the "Update file properties" action, reflecting stages like "Pending Engineer," "Pending PM," or "Rejected." Each approval decision and any comments will be logged in a separate SharePoint list named "Review Log" with the "Create item" action. I'll use a condition to check if all reviewers have approved before moving to a "Released" status, also updating the file properties. I will assume the "Review Log" list structure needs to be created as part of this, with columns for document name, reviewer name, decision (Approved/Rejected), comments, and timestamp. The brief mentions assigning "all the reviewers simultaneously engineer, project manager and other reviewers," but does not specify how the "other reviewers" are identified or managed. I will assume these other reviewers are defined in a SharePoint group or a specific column on the document library, and will assign them accordingly. I am a Preferred Freelancer with a 5.0 rating over 10 reviews, delivered on time and on budget each time. What specific SharePoint group contains the list of "other reviewers" you want included in the approval process? I need the URL of the SharePoint Online site and the exact name of the document library.

★★★ POWER AUTOMATE SPECIALIST ★★★ Hi, To build a traceable review workflow for your engineering documents, I can configure the SharePoint-triggered flow around the existing review stages and approval states. The flow will capture submission metadata, assign the engineer, project manager, and additional reviewers as required, and write each stage back to the document library using statuses such as “Pending Engineer”, “Pending PM”, “Rejected”, and “Released”. I will also create the Review Log list to record each approval/rejection decision, reviewer comments, and the related document activity for audit purposes. For notifications, I will configure Outlook 365 messages with direct file links at the appropriate review stage. The workflow will work with SharePoint version history so documents can continue through revisions without requiring manual check-in/check-out. I will keep the flow organized so the approval stages, status logic, and logging can be maintained without rebuilding the workflow when changes are needed. To get started, I will need access to the SharePoint environment and the document library/list structure or the flow architecture you already have. Thanks!

Hi, I can build the SharePoint Online Power Automate review flow that routes new or updated engineering files through parallel reviewer approvals, writes status back to the library, and records every decision in an audit log. I’ll implement a trigger on document create/update, capture metadata, then use approval actions for engineer, project manager, and any additional reviewers. The flow will update SharePoint columns for Pending Engineer, Pending PM, Rejected, and Released, while logging approver, decision, comments, timestamps, and file links to a separate Review Log list. Outlook 365 notifications will send direct links to the document at each step. The design will be modular and easy to maintain, with clear stages, reusable variables, and consistent status mapping so future reviewer changes are simple to manage. I’ll test the full approval and rejection paths, version history behavior, and error handling in a staged rollout before handover. I’m available to work in Australia timezone and can provide the flow architecture plus the finished automation, ready to move forward.

Rough ballpark on the bid amount and timeline above , we'll firm those up once we've had a quick look at your existing SharePoint setup and talked through any edge cases. From what you've described, you need a Power Automate flow that kicks off the moment a file lands in your document library, routes it to all reviewers at once, and keeps a clean audit trail from "Pending Engineer" all the way through to "Released" , without anyone chasing signatures over email. The key thing here is that the status columns stay live in SharePoint so the whole team can filter and see where any document sits at a glance. Sounds like a straightforward but important internal workflow that just needs to be built right the first time. Here's how we'd approach it: - Trigger and metadata capture: Power Automate flow fires on file creation and modification, grabs filename, uploader, date, and version, and writes them straight into the library columns before anything else happens. - Parallel approval routing: all three reviewer types (engineer, PM, additional reviewers) get assigned simultaneously using a parallel branch in the flow, so nobody is waiting on someone else to even start reviewing. - Status column sync: each approval or rejection action writes back to the SharePoint library column in real time, so the team always sees "Pending Engineer", "Pending PM", "Rejected", or "Released" without touching the flow directly. - Review Log list: every decision and comment gets written to a separate SharePoint list entry so you have a clean, timestamped audit trail for every document that goes through the cycle. - Outlook 365 notifications: each reviewer gets an email with a direct link to the file as soon as it's their turn, and the submitter gets notified on final release or rejection. Once we've had a short scope chat and you share the document flow architecture you mentioned, we'll put together a proper proposal with milestones, timeline, and a firm price. Want to jump on a quick call this week to walk through the setup? Best, 96 Studio

Hello, Chasing approvals across email threads is exactly the kind of thing a review flow should end, and I read that your real concern is a traceable, self-documenting cycle: the audit trail and the filterable statuses (Pending Engineer, Pending PM, Rejected, Released) seem to matter more than the flow itself. A few points would help shape it properly: Do the three reviewers (engineer, PM, others) approve in parallel, and does "Released" require unanimous approval, or a majority? On a rejection, should the document return to the author and reset the cycle, or stay locked in "Rejected"? Would you prefer a solution you import into your own tenant yourself, or a flow deployed and tested directly in your SharePoint? The Review Log being tamper-resistant and each step testable is where I would put the care, without touching your existing version history. Looking forward to discussing this with you. Kind regards, Eric
