We are a small (tiny) company which uses Google Workspace. We need software which does the following: when an email comes into an employee's email or goes out from any of our employee's gmail that (1) includes certain text in the subject line ("keywords") and/or email addresses ("key-addresses"), then that email automatically gets PDF'd, and, put into a pre-designated folder on DropBox. The name of the PDF shall reflect the date as part of the name and the subject line as the rest of the name.
We're calling the idea THEMIS.
The point of THEMIS is to be able to keep chronological track of all correspondence on multiple projects which our company is handling, and putting those emails into a sub-folder under each of the projects main folder in Dropbox.
For example, if this message was an email with the Subject Line "Re: Project Request" that came in or went out from one of our employees' email accounts, and we directed THEMIS to react to keyword "re: Project Request" by saving the email under the project called "Development," THEMIS would then automatically convert the email to PDF, and, place the PDF a predesignated folder, for example:
Admin > Development > Correspondence > [login to view URL]: Project Request
We should of course be able to set up multiple triggers from keyword and key-emails, as well as the designations of the PDF'd emails.
Ease of GUI and unlimited keywords / folder designations is required.
We'd also like to be able to see history of who (which user) created what triggers, etc, and all users should have the ability to add triggers/destinations, and, edit/delete those that are already in place (theirs and others')
If there are attachments to the email, then they would be PDF'd and added to the email itself in the destination folder (or, something else practical if that cannot occur).
Must work with PC and Mac.
Must account for updates in Gmail and Dropbox, as THEMIS would be integrated into them as an add-on for our company.
This is basically kind of a fancy version of a Zapier integration (hehe), just would be ours, and would be proprietary to us.
Envisioning of the interphase:
-App runs in the background
-App's icon in Gmail's add-on tab on the right
-Clicking on icon brings up a stand-alone window which has three options: SETTINGS, TRIGGERS and HISTORY
-Settings -> general settings, and sub-menus as needed, including adding/deleting Users
-Triggers -> keywords and "key-adresses" which would trigger a pdf being put into a destination folder (also pre-designated). Must include options for only emails, only keywords in text, or both.
-History -> history of actions being taken from keywords.
