Job Description:
We are seeking a dedicated and detail-oriented Contracts Virtual Assistant to join our team. In this role, you will play a pivotal part in our contract management and procurement efforts, including the crucial responsibility of finding and researching a minimum of 10 contracts daily. Your primary responsibilities will also include independently reviewing RFP solicitations from various US states and local counties, assessing eligibility, analyzing scope of work, and facilitating the smooth flow of information to the development team. You will also be responsible for organizing and reviewing all documentation required for RFP submissions and ensuring compliance with relevant guidelines and regulations.
Key Responsibilities:
Daily Contract Research: Find and research a minimum of 10 contracts per day, identifying relevant opportunities.
Scope Analysis: Examine RFP solicitations to extract and understand the scope of work.
Eligibility Assessment: Determine eligibility for pursuing specific RFP opportunities, taking into account predefined criteria.
Contract Research: Conduct comprehensive research to gather information on existing contracts and agreements relevant to RFPs.
Due Date Management: Monitor and manage submission deadlines to ensure timely responses to RFPs.
Coordination with Development Team: Act as a liaison between the contract specialist and the development team, facilitating the exchange of information.
Information Handoff: Ensure a seamless transfer of critical information and documentation between different teams.
Documentation Organization: Maintain an organized filing system for all RFP-related documents.
Review and Quality Assurance: Conduct thorough reviews of proposal documents to ensure accuracy and compliance with RFP requirements.
Information Gathering: Collect all necessary information and documentation required for RFP submissions.
Contract Award Preparation: Prepare and compile all materials necessary for the contract award process.
Compliance Monitoring: Stay updated on changes in RFP guidelines and regulations, ensuring submissions align with compliance standards.
Communication and Reporting: Maintain clear and effective communication with team members, management, and clients. Provide regular status updates and reports on submission progress.
Continuous Improvement: Seek opportunities to enhance processes and improve efficiency in contract management and procurement efforts.
Qualifications:
Proven experience in contract management, procurement, or a related field.
Strong organizational and time-management skills.
Excellent attention to detail and analytical abilities.
Effective communication and interpersonal skills.
Proficiency in document management and organization.
Knowledge of RFP guidelines and regulations is a plus.
Ability to work independently and remotely.
