Microsoft Word / Excel Quoting system for sales team

One of our sales teams wishes to be able to generate proposal documents and contracts quickly. I want the agents to be able to submit details into an excel backing sheet and for word macros to be able to produce the appropriate proposal documents and contracts. ## Deliverables **Attached is a full brief. Below is a summary of that information:** **Preamble** One of our sales teams needs a system that allows them to quickly generate both a proposal and a contract(s) in an editable format. I believe the best method is to use Excel & Word. We currently have available all versions in the office from 2000 to 2010. 1. The system allows the agent to specify their own details (see **Setup** below) 2. The system allows them to build a proposal for a customer (see **Proposal System** below) 3. The products they can select in their proposal are attached in a document called **Products & addons**) 4. They can add blocks of text to the proposal. Those blocks are in a attachment called **Variable product add ons**) 5. An example of the proposal they will produce is attached called **Example proposal**. I have changed some of the variable text to color red so you can see it easily. 6. The system will produce one or more contracts. An example is attached called **NetRegistry Hosting Agreement - [login to view URL]**) **Setup** 1. Agent nominates their details for inclusion in all proposals a. Name b. Email c. Direct line d. Mobile e. Fax **Proposal system.** 1. Agent enters customer details into form fields. a. Account reference b. Contact person's name c. Company d. Nickname for Company e. Addr 1 f. Addr 2 g. Suburb h. State i. Postcode j. ABN k. Phone l. Fax m. Email 2. Agent is often required to present one or more scenarios for the customer in the proposal. Each of these scenarios is an Option that needs to be priced in the proposal and each Option needs to generate its own Contract. 3. Agent selects Option (or <no option> if the client only requires one scenario) a. <no option> b. Option 1 c. Option 2 d. ?? e. Option 10 4. Agent nominates products & add-ons to add to Option (see attached document called **Products & addons**) a. Dedicated Professional b. Dedicated Enterprise c. Ded_Std_4Gb_RAM d. Agent nominates whether or not to display the breakdown of pricing for all the products and add-ons in the proposal, or just the summary price a. Display all prices b. Summary price only 8. Agent may choose to edit the prices in the excel backing sheet. 9. Agent completes this Option and returns to 2 if required 10. Agent checks boxes to nominate which content they would like associated with their proposal (content attached in file called **Variable product add ons**). Word macros produce Word documents for the proposals and the contracts. 13. The agent saves the Excel backing sheet for that customer, so they can recover it again later.
