Make's API call module runs through the existing FreeAgent connection, so OAuth tokens refresh themselves. In Zapier, Webhooks cannot reuse that connection and you end up managing refresh tokens by hand. 2. Line items map cleanly through an iterator. Zapier's line item handling is awkward once invoices have several rows and discounts. 3. Operations pricing suits 20 invoices a month far better than task pricing. How I would proceed: 4. Trigger from a Harvest webhook, storing the Harvest invoice ID on the FreeAgent invoice so a repeated webhook can never create a duplicate. 5. That's the piece I'd confirm first, because if it needs a status precondition or a different auth scope than the API key has now, the no-duplicate-email premise falls over. Once that's settled I'd wire the Harvest webhook into a Zapier or Make flow: match the Harvest client to existing FreeAgent contacts on name and email, create one where there's no match, carry line items and tax across, then hit the transition endpoint directly rather than triggering FreeAgent's own send. I'd test it against partial payments, multi-line invoices and discounts, since that's where a copied line-item structure tends to break quietly instead of throwing an error. M1: confirm the transition endpoint and auth scope, $215, 1 day. M2: build the contact-match and invoice-creation flow, $260, 2 days. M3: edge-case testing and handover, $175, 1 day. The $650 assumes M1 confirms the direct call works as spec'd. If FreeAgent needs the invoice routed through its own send flow with the email suppressed differently instead, that's a different build and the number moves with it. The draft-to-approved step is the part native Zapier FreeAgent actions usually won't do, so I'd plan on a webhook step that calls FreeAgent's invoice transition endpoint after creation. I'd also match Harvest clients and items to FreeAgent by their IDs rather than names, and store the Harvest invoice ID on the FreeAgent invoice so a re-run can't create duplicates. FreeAgent's mark_as_sent transition doesn't email the client, as long as send_new_invoice_emails isn't enabled. Three corrections to the AI workflow: - Harvest's "New Invoice" fires on draft, so the trigger should be an invoice update filtered to state = open (sent) - Partial payments won't sync; FreeAgent records them through bank reconciliation, so I'd test matching instead - Store the Harvest invoice ID as the FreeAgent reference to block duplicates Recommendation: Make. Its FreeAgent app includes a "Make an API call" module that reuses the OAuth connection and refreshes tokens automatically. With Webhooks by Zapier, FreeAgent's short-lived tokens need manual handling, which is the usual point where these automations break. Make's iterators also handle line items cleanly, and it costs less. Build: contact lookup (created if missing), mapped lines, tax and discounts, error alerts, and a short handover.
