Providing support in the areas of project coordination, technical assistance, accounting, HR, and clerical. Ability to train and supervise lower-level clerical staff.
Project Coordination -
* Benchmark and schedule project deadlines to include project coordination by contacting all parties involved to finalize proper procedures and approvals
* Coordinate and maintain project goals, deadlines, and financial boundaries
* Provide client/user account creation and management to team members and customers
* Maintain customer accounts including facilitating communications and financial reporting
Technical -
* Maintain technical records and data utilizing various automated systems which may include creating database/server, developing tracking systems/spreadsheets, setting up files
* Quality assurance evaluating and trialing new products for processing and improving production processes
Accounting and Human Resource -
* Setup and maintenance of Accounts Payable, Accounts Receivable, and Payroll
* Prepare and post job advertisements, screening applications, arranging interviews, participating in selection process, and administering pre-employment tests as required
* Preparing source documentation needed for new hires, or effective changes in pay, status, or benefits
* Establish, maintain and control personnel, employees, recruitment relations records, files, correspondence, reports, and organization charts
* Manage sensitive and confidential matters like personnel relations, employee relations, and organizational changes, planning and protecting the security of information, data and files
* Interpreting, assisting and advising employees and managers regarding leave management, benefit administration, and HR procedures and policies within company guidelines
* Administering and monitoring new hire orientation programs
* Interacting with and supplying information to employees, department heads, and job applicants
Clerical -
* Conduct research, prepare reports, respond to information requests, and perform clerical functions such as preparing correspondence, spreadsheets, presentations, organizational charts, or other documents as requested
* Calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex senior level meetings
* Coordinate company events, meetings, and trainings to include scheduling conference rooms, catering, sending and managing attendee invitations, preparation of agendas, and travel arrangements
* Develop, coordinate, and launch hard copy or email campaigns to consultants, clients and potential clients
Proficient in Microsoft Office Suite Applications (Excel, Word, Outlook, PowerPoint) including MS Access and Publisher, Google Docs & Calendar, LinkedIn, Twitter, Facebook, VerticalResponse, eZine, Wordpress, Joomla CMS, Sugar CRM, Salesforce CRM, MS Project, QuickBooks, Lotus Notes, Microsoft Windows® operating system, and Mac operating system; type 60 wpm with accuracy.
