I have created a number of Excel based applications. Look at my profile and you'll see a video that demonstrates a basic file with the elements you are talking about. The file is set up for invoicing a client and has a drop down box with a list of customers from a pre-populated table. If the customer is on the table address and contact information is pulled over. If the customer is not in the table, you have the option to add a customer. Your project has many of the same concepts: 1) drop down box 2) populate data 3) save the invoice as a PDF 4) ability to add people to the table.
