Custom online database for expenses and time tracking for a very small company.
We want to have a database where time and expenses are entered by employees and the administrator can create reports and extract data.
The source code must be delivered, as we want to ensure no connection to a third-party server is attempted in order to keep the privacy of the data.
The user interface must be a webpage and the database to be hosted on our server.
The employee logs in using a username and password.
In the time logging page, the employee enters tasks that contains : date ; short text description ; internal project number (string) ; client project number (string) ; type of work (field / office) ; amount of time worked (in hours if office, in days if field) ; amount of food allowance claimed ($) ; state/province in which the worked was performed. This page is a listing of all time logged so far and can be filtered for a specific date range, per project (internal or client), and/or per type of work or a combination of all.
In the expense page, the employees enters expenses that contains : date ; category (from a drop-down list) ; item (string) ; amount ; tip amount ; taxes (2 types) ; total paid ; project number. Then the employee uploads a picture of the expense limited to 1MB. The sum of amount + tip + taxes must be equal to total paid. This page is a listing of all expenses logged so far and can be filtered for a specific date range, per project, and/or per category or a combination of all.
The administrator logs in using a username and password.
The administrator can create a daily, weekly or monthly report of time spent on a project in the previous month, total time logged filtered by employee, project, etc. and save this to a .CSV format or Excel format, and in a PDF.
The administrator can create a CSV/EXCEL/PDF report listing all expenses, by filtering by employee name, date range, project number. For example, the administrator can create a PDF report of expenses of employee #1, assigned to project #2 during the "Current Month" or "Previous Month" or "From 2017xxxx to 2017yyyy" and in this PDF, on each page, one expense will be shown with all of its information and the uploaded picture.
The employees only have access to their own entries but are allowed to get a sum of amount, tip amount, taxes and total paid filtered by date period and project. The employees can edit their entries. In a similar way the employees can get a report of time logged and food allowance paid filtered by date period and project.
The administrator can get a sum of amount, tip amount, taxes and total paid filtered by employee, date period and project.
The administrator has access to an employee list and can add/remove users.
During the development of the project, the freelancer is to provide us a draft of the work in progress online so we can provide comments as it goes.
