Executive/Personal Assistant Job Duties:
-Represents the Principal in both professional and personal matters with absolute professionalism, discretion and diligence; manages business affairs across multiple businesses, including Fast-Moving Consumer Goods, Media & Advertising, Real Estate and Aviation.
-Reviewing correspondence; arranging company dinners and other corporate functions; answering questions and meeting requests directed to the Principal.
-Publishes the corporate newsletter by gathering information; designing graphic presentation; producing and distributing.
-Email and diary management; making contact with external executives as directed by the Principal.
-Helps key executives make consistent decisions by advising them of historical precedents; serving as liaison between them and the Principal.
-Arranges travel and meetings by developing itineraries and agendas; booking other transportation; arranging lodging and meeting accommodations.
-Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans.
-Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
-Improves quality of results by studying, evaluating, and re-designing processes; implementing changes.
-Enhances Principal's and businesses' reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
-Weekly progress reports due Friday evenings;
Skills and Qualifications:
-Must be motivated to set reasonable deadlines, achieve deadlines and deliver "Outstanding" quality work. No prior experience required, but MUST be motivated to learn, grow and advance.
-Travel Logistics, Scheduling, Informing Others, Presentation Skills, Self-Confidence, Meeting Management, Client Relationships, Written Communication, Promoting Process Improvement, Decision Making, Administrative Writing Skills
-High level of MS Word, Outlook, Excel, Powerpoint, Gmail, Google Docs. Knowledge of Pipedrive Project Management tool a significant plus.
-Excellent writing, reading and speaking proficiency at business level in at least English and Spanish required, with fluency a major asset. Fluency in German would be a major asset. Other European languages also a plus.
-Attention to detail, and common sense. Must be reliable.
Nature of Work:
-Part-time initially, potential to increase to full-time based on performance. Working hours may be flexible.
-Work from home, with regular (weekly) meetings in person.
-Must have phone and laptop. Must be able to use distance communication tools, Facetime preferred.
