Database Tool Development I. Introduction 1. Purpose: The DRP Talent Solutions team currently manages an internal workforce partner database developed in-house and updated internally. This resource, currently in an Excel spreadsheet format, is used to assist employers in navigating our regional workforce programs and partners. To enhance its utility in responding promptly to RFIs (Request for Information), we aim to reinforce this database tool. Our objectives include implementing organizational features with multiple tags for efficient categorization and establishing a user-friendly update and maintenance system that does not require consultant engagement. 2. Objectives: i. Objective 1: Enhance Database Organization 1. Introduce multiple tags for easier navigation and filtering of information 2. Implement organizational features to categorize workforce partners efficiently ii. Objective 2: Streamline Update and Maintenance Processes 1. Develop a user-friendly system for updating and maintaining the database 2. Ensure that updates can be performed internally without the need for consultant engagement 2. Project Overview 1. Description: When we receive a Request for Information (RFI), we will utilize the Database tool to match suitable partners for the employer (our client). For example, if a client seeks information on IT-related programs at post-secondary institutions in Wayne County, we will search the database and provide relevant findings. Ideally, we aim to filter by categories such as "university" and "community college," the county (Wayne), and the industry (Digital Technology). 2. Deliverables: These deliverables are aimed at enhancing the utility of the workforce partner database tool, enabling the DRP Talent Solutions team to respond promptly to RFIs and better serve their stakeholders. i. Enhanced Database Tool 1. Upgraded internal workforce partners database with improved organizational features, including the function of multiple tags for efficient categorization. 2. Multiple tags are necessary for the following: a. Partners with multiple physical locations, requiring one line entry with multiple zip codes, counties, or cities. b. Partners serving across multiple DRP industries, necessitating tagging for multiple industries. c. Categorization of partners into various categories such as universities, workforce programs, job boards, and staffing firms, with the ability to tag organizations for multiple categories if applicable (e.g., staffing firms with job boards). ii. User-Friendly Update and Maintenance System 1. The database tool must be user-friendly for updating and maintenance, exclusively for internal team use. We need to update the system effectively without consulting external parties. Training is necessary to ensure our team understands the updates and can maintain the system without external assistance. iii. Internal Training or Communication 1. Upon completion of the database tool, a training session will familiarize our DRP team with the new features and system updates. The training will cover navigating the dashboard, updating data to reflect changes and additions (such as adding new partners), and troubleshooting methods to maintain data integrity over time.
